Terms and Conditions of Enrollment

New York Jazz Workshop, Inc.
Effective date: July 28, 2026

These terms apply when you enroll in any New York Jazz Workshop program — private lessons, weekly workshops, courses, summer intensives, international programs, or rehearsal studio rentals. The person who pays is bound by them; if the student is under 18, that person is the parent or guardian.

These terms work together with our Platform Terms and Conditions and our Privacy Policy. Where those documents govern your use of our website and how we handle your data, this one governs enrollment and payment. Nothing here replaces either of them.

1. What you are enrolling in

2. How you pay

We keep a credit or debit card on file for weekly workshops and private lessons. Your card details are stored and processed by Stripe, a PCI DSS Level 1 certified payment processor. NYJW never sees or stores your full card number.

If you pay by check, please allow 10 days for it to reach us before your class begins. Our mailing address is on our billing page.

Payment is due in advance of the class or lesson unless we have agreed otherwise in writing.

Keeping a card on file is not the same as automatic renewal. A card on file is a stored payment method, kept so you don’t have to re-enter it — we charge it only when you make a purchase or ask us to enroll you in something. Automatic renewal is a schedule, and only one plan has it — see Section 3.

3. Automatic renewal — 4-week workshop plans

Only the 4-week weekly workshop plan renews automatically. Term plans, multi-term plans, Flex plans, private lesson packages, intensives and international programs do not.

When you enroll in a 4-week workshop plan and give us a card, you authorize NYJW to charge that card, through Stripe, for each following 4-week plan until you tell us to stop.

What you are charged. The published rate for that workshop then in effect, less any discount you qualify for. Current rates are at newyorkjazzworkshop.com/billing-questions.

When you are charged. On the date of the last class of your current 4-week plan, in the early morning (around 5:00 AM Eastern). Your next four classes begin at the following class.

Reminder first. About a week before that charge, we email you. The reminder states the amount, the date we will charge it, and the date of the first class of your next plan.

Your plan does not roll from one season into the next. Renewals stop on their own at the end of the season. If fewer than four classes remain in the season, your final charge is reduced to cover only those classes. Enrolling for a new season is a fresh purchase at the rates then published.

If a charge fails, we will contact you. Your enrollment does not renew until payment succeeds.

You can stop the renewal at any time. See Section 4.

4. Cancelling

You can cancel at any time before your next 4-week plan starts.

  • If you cancel before we charge you, we do not charge you.
  • If we have already charged you and your next plan has not yet started, we refund you in full.
  • Once the first class of a plan has taken place, that plan has begun. See Section 5.

How to cancel. Reply to your reminder email, or email info@newyorkjazzworkshop.com at any time. You do not need to give a reason, and we will not ask you to call. We confirm every cancellation in writing.

5. Refunds and missed classes

A plan you have not started is refundable. Classes you miss inside a plan you are in are not.

  • If we have charged you for a 4-week plan and its first class has not yet taken place, you can cancel and we refund you in full.
  • Once a plan has begun, its fee is fixed regardless of how many classes you attend. There are no make-up sessions and no refunds for classes you miss. Your fee holds your place in the class, which is why we cannot release it and also keep it for you.
  • Flex plan sessions: you choose your four dates in advance, and you may reschedule a booked session at any time up to 48 hours before it. If you notify us later than 48 hours before the session, it can no longer be rescheduled — and if you then do not attend it, you lose that session.
  • Private lessons: cancel at least 24 hours in advance by emailing both your teacher and info@newyorkjazzworkshop.com, or the lesson is billed. Teachers may reschedule at their discretion.
  • Rehearsal studio: cancel at least 24 hours in advance or the booking is charged.
  • Summer intensives: the 25% deposit is non-refundable, and fees are not refundable once the intensive begins. We may offer a credit toward a future program at our discretion.
  • International programs: the 25% deposit is non-refundable. Cancelling 120 days or more before departure: refund less a $250 administrative fee. Between 119 and 30 days: a 25% penalty. Within 29 days: a 50% penalty.
  • If NYJW cancels a program, you choose between a full refund and a credit of equal value toward another program.
  • If illness or a move makes it impossible to continue mid-term, contact us. We may offer a credit at our discretion.

6. Price changes

We publish our rates at newyorkjazzworkshop.com/billing-questions and review them annually. Rates usually change on September 1.

If the price of a plan that renews automatically is going up, we will email you at least 30 days before the first charge at the new rate. The email will state the current price, the new price, and the date it takes effect.

You do not have to accept a price increase. You can cancel at any time before your next plan starts and, if we have already charged you at the new rate, we refund you in full. If your plan has already started, you may still cancel within 14 days of a charge at an increased rate, and we will refund the remaining classes in that plan.

7. Students under 18

Weekly workshops and intensives are generally for students aged 17 and over. Private lessons are open to all ages. Teen Jazz Camps are for students aged 12 to 16.

If the student is under 18, a parent or guardian must enroll them. That parent or guardian:

  • agrees to these terms on the student’s behalf;
  • must be the cardholder for any card kept on file, and authorizes any automatic charges;
  • is responsible for payment; and
  • exercises the student’s rights under these terms, including the right to cancel and the rights concerning recording (Section 8).

8. Other terms

Recording. We photograph and record classes and performances for educational and archival purposes. We use a student’s name, likeness, voice or performance in promotional material only with written consent, which we ask for as part of your enrollment acknowledgement — given by the parent or guardian for a student under 18, and, for students aged 13 to 17, together with the student’s own assent. You can withdraw this consent, or tell us you prefer not to be recorded at all, by writing to us at any time.

Conduct. Students are expected to behave respectfully and professionally. Disruptive, disrespectful or unsafe behavior may result in removal from a program without refund.

Changes to programs and instructors. We may change programs, schedules, instructors and locations, and will make every reasonable effort to give you advance notice of significant changes. If we cancel a program, you choose between a full refund and a credit of equal value.

Discounts. Age-based and multiple-workshop discounts apply to weekly workshops and summer intensives only. They do not apply to private lessons or to international travel costs, only one discount applies per enrollment, and current percentages are published at newyorkjazzworkshop.com/billing-questions. Age-based discounts require proof of age at registration.

Gift cards. Gift cards never expire, carry no fees, are non-refundable, cannot be exchanged for cash (except that a remaining balance under $5 will be redeemed in cash on request), and may be used toward any NYJW program.

Illness, injury and relocation. If circumstances make it impossible to continue a program you have paid for, contact us. We may offer a credit toward a future program at our discretion.

Materials and equipment. Requirements vary by program and we tell you what to bring. For most programs you need only your instrument — we provide drums, piano, keyboards, vibraphone, microphones and amplifiers.

How we contact you. By email, and through our website. Please keep your contact details current.

Governing law and disputes. These are set out in our Platform Terms and Conditions, Sections 12.2 and 12.3.

Changes to these terms. We will post any updated version here with a new effective date. If a change affects how, when, or how much we charge a card you have on file — the amount, timing or frequency of charges, or your cancellation or refund rights — we will ask you to agree to it before it applies to you. Other changes, such as corrections, program descriptions or contact details, take effect when posted.

Your acknowledgement. When you enroll online, you check two boxes: one confirming that you have read and agree to these terms, and one agreeing that we keep your card securely on file with Stripe so you don’t have to re-enter it — we charge it only when you make a purchase or ask us to enroll you in something. If you enroll in a 4-week weekly workshop plan, you also give separate, explicit consent to the automatic renewal described in Section 3. We keep a dated record of each.
